WE ARE HIRING! WE ARE LOOKING FOR AN OPERATIONS COORDINATOR TO JOIN THE NOTTS SPORT TEAM

Notts Sport is looking for an Operations Coordinator to join our Operations team to cover maternity leave for a 12 month period.  This will be an ideal role for someone with good all-round people, office and administration skills.

We are looking for an experienced coordinator who is highly organised with great communication skills. The Operations Department is responsible for all operational and logistical activity from production & stock availability to quality & delivery both domestically and overseas.  The role is key to providing a seamless pre & post sale processing and customer experience.

Responsible to:    Finance Director

Hours of work:     9.00am– 5.00pm

Job Type:             Temporary 12 month

Days of work:      Monday to Friday

Specific Duties:

  • Manage sales order process from start to completion

  • Ensure correct pricing is in place

  • Check internal order request forms for all domestic and overseas orders

  • Manage the reservation of sales orders, handling and communicating issues as appropriate

  • Liaise with customers, external suppliers, finance, and sales team to ensure all orders are processed correctly

  • Liaise with external suppliers & customers to update and agree on production lead times, delivery dates and carriage costs

  • Raise purchase orders to suppliers

  • Create & distribute customs documents where necessary

  • Actively monitor stock levels and due dates against delivery dates

  • Ensure back orders are fulfilled, allocating stock where necessary and updating order book

  • Coordinate despatch of goods with external suppliers

  • Ensure orders are met on time and in full

  • Answering telephone and dealing with enquiries

  • Deal directly & promptly with internal/external enquiries ensuring queries are resolved or appropriately escalated

  • Checking & authorisation of supplier invoices

  • Provide quality service/proactive customer support

  • Provide commentary during the Ops/Finance weekly meets as to the state of the order book

Preferred experience:

  • Sage

  • Computer literate (MS Office,etc)

  • Experience as an Operations Administrator or in a similar position would be an advantage
